This policy explains how Kfows Ltd, trading as Resa, collects and uses your personal information when you book a journey, contact us, or apply to drive with us.

Who we are

Resa is the trading name of Kfows Ltd, a private hire vehicle operator, with a licence application in progress with Transport for London (TfL). Kfows Ltd is registered in England and Wales (company number 17298364), registered office 71-75 Shelton Street, London WC2H 9JQ. In this policy, “we”, “us” and “our” mean Kfows Ltd. We are the controller responsible for your personal data.

What this policy covers

It explains what personal information we collect, how and why we use it, who we share it with, how long we keep it, and the rights you have. It applies to passengers, people who contact us, and drivers who apply to work with us.

Information we collect

Contact and identity details - your name, phone number and email address. Booking and journey details - pickup and destination, date and time, number of passengers, any assistance or accessibility needs, and any booking reference. Payment information - we take payment through our payment provider and do not store your full card details. Communications - the content of calls, messages and emails with us. Complaints, feedback and lost property - information you give us to resolve an issue or trace an item. Driver applications - your contact details, driving experience, availability, vehicle details and your answers to our eligibility questions. For drivers we progress, we may also collect identity, right-to-work, licensing, vehicle, insurance and payment details needed for onboarding. We also collect limited technical information from our website. Where you tell us about assistance or accessibility needs, this may include health or disability information; we use it only where needed to arrange a suitable journey.

How we use it, and our legal bases

To take and fulfil your booking and provide the journey (performance of a contract). To meet our legal obligations as a private hire operator, including keeping the records TfL requires (legal obligation). To send booking confirmations and journey updates by text and email, and to take payment (contract). To handle complaints, feedback, safety concerns and lost property, and to keep passengers and drivers safe (legitimate interests and legal obligation). To assess driver applications, contact applicants and progress selected drivers through onboarding (legitimate interests and taking steps to enter into a contract). We do not make automated decisions that produce legal effects about you.

Records we are required to keep

As a private hire operator, we record and keep certain particulars for every booking for at least 12 months. These include the booking and journey dates, the passenger’s name, the agreed time and place of collection, the destination, the agreed or estimated fare, the names of the people who took and dispatched the booking, the driver’s PHV licence number and the vehicle registration mark. We keep these to comply with TfL rules and to support any investigation.

Who we share it with

Drivers - the details needed to complete your journey are shared with the allocated driver. Service providers acting on our behalf - messaging (SMS), email, payment processing, route estimation, and secure hosting and storage; they may only use your data on our instructions. Authorities - TfL, the police or others where we are legally required to share information, or to prevent or investigate a crime or safety concern. We do not sell your personal information or share it for third-party marketing.

Storage and international transfers

Your information is stored on secure systems. Where a provider processes data outside the UK, we take steps to ensure an equivalent level of protection, such as approved safeguards.

How long we keep it

We keep booking particulars for at least 12 months, as TfL requires, and longer where needed. Complaint, safety and incident records are kept for as long as necessary to handle the matter and meet our obligations. Other information is kept only as long as we need it, then deleted or anonymised.

Your rights

You can ask to access the data we hold about you, to correct it, to delete it (subject to records we must keep by law), to restrict or object to certain uses, and to receive certain data in a portable format. Where we rely on legitimate interests, you can object to that processing, and we will stop unless we have compelling grounds to continue or need the information for legal claims. To exercise any of these, contact us at privacy@resa.so. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk.

Keeping your information secure

We use appropriate technical and organisational measures to protect your information against loss, misuse and unauthorised access. No system is completely secure, but we take reasonable steps to reduce the risk.

Cookies

Our website uses only the cookies needed for it to work. We do not use advertising or tracking cookies.

We may update this policy from time to time. The date at the top shows when it was last updated, and significant changes will be made clear on this page.
